Processing of (personal) data by the entity in charge of the online application process

1) General Information
We take the protection of your data seriously! Therefore, we would like to inform you about the basic rules for handling personal data within the framework of our application process. Below we refer by way of example to the legal provisions of the EU General Data Protection Regulation (GDPR).

Personal data refers to information about personal or material circumstances of a specific or identifiable natural person. This includes information such as your name, address, telephone number, and date of birth, as well as data about your specific career path, etc., which can be attributed to a specific person with reasonable effort. Information that is not directly or indirectly associated with your real identity is not considered personal data.

If we obtain your consent for processing personal data, Article 6(1)(a) of the EU General Data Protection Regulation serves as the legal basis for processing personal data. For the processing of personal data necessary for the performance of a contract – in this case, a potential employment contract – Article 6(1)(b) of the GDPR serves as the legal basis. This also applies to processing activities necessary for the implementation of pre-contractual measures. If the processing of personal data is necessary to fulfill a legal obligation to which our company is subject, Article 6(1)(c) of the GDPR serves as the legal basis.

2) Collection and Processing of Personal Data
Personal data is only collected if you voluntarily provide it to us. By applying through our career page, you express your interest in employment at just experts GmbH and provide us with your personal data beyond a specific application for the purpose of job search. By doing so, you simultaneously consent to us storing and processing the data provided by you for this purpose. Additionally, we reserve the right to store your data for inclusion in our "Talent Pool" to identify any further interesting positions for you. Only authorized colleagues of just experts GmbH have access to our talent pool. You can revoke your consent to be included in our talent pool at any time. You can view and update the data you have provided at any time. Therefore, you are responsible for ensuring that this data is correct and truthful. Furthermore, you agree that we may contact you in the context of personnel recruitment measures, i.e., communication regarding positions and applications at just experts GmbH. If you no longer wish to receive such communication from a specific point in time, you can request to have your profile completely deleted at any time.

3) Scope of Data
The data provided by you, e.g., resume, certificates, qualifications, results from interviews, etc., will be processed.

4) Data Transfer
The data transmitted as part of your application is transferred via TLS encryption and stored in a database. This database is operated by Personio GmbH, which offers personnel administration and applicant management software (https://www.personio.de/impressum/). In this context, Personio is our data processor in accordance with Article 28 of the GDPR. The processing is based on a contract for data processing between us as the responsible entity and Personio. 

In compliance with legal provisions, the data necessary for the respective purpose may be disclosed to other internal and external entities in the following cases:

- Reporting and disclosure obligations to authorities and other governmental bodies
- Clarification of claims and accusations to lawyers and other governmental bodies

5) Purposes of Use
We will only use the personal data collected from you for the purpose of conducting personnel recruitment measures in compliance with legal obligations. We ensure the implementation of appropriate technical and organizational measures for data security.

6) Rights of Data Subjects
If we, as the responsible entity, process personal data concerning you, as the data subject, depending on the legal basis and purpose of the processing, you have certain rights under Chapter III of the EU General Data Protection Regulation (GDPR), including, if applicable, the right to information (Article 15 of the GDPR), the right to rectification (Article 16 of the GDPR), the right to erasure (Article 17 of the GDPR), the right to restriction of processing (Article 18 of the GDPR), the right to data portability (Article 20 of the GDPR), and the right to object (Article 21 of the GDPR). If the processing of personal data is based on your consent, you have the right to withdraw this data protection consent in accordance with Article 7(3) of the GDPR. 7) Data Retention
Personal data is generally deleted six months after the end of the application process. By accepting the data protection declaration, you consent to the potential further storage of your data and inclusion in our "Talent Pool." If you receive an offer for employment with us as part of the application process and accept it, we will store the personal data collected during the application process for at least the duration of the employment relationship. Subsequently, we are obligated to delete or anonymize your data. In this case, the data will only be available to us as so-called metadata without a direct personal reference for statistical evaluations (e.g., ratio of female to male applicants, number of applications per period, etc.).

Processing of (personal) data by the operator of the recruitment website

General information

This recruitment website is operated by Personio SE & Co. KG, which offers a human resource and candidate management software solution (https://www.personio.com/legal-notice/). Data transmitted as part of your application will be transferred using TLS encryption and stored in a database. The sole controller of this data within the meaning of article 24 of the GDPR is the enterprise carrying out this online application process. Personio’s role is limited to operating the software and this recruitment website and, in this context, being a processor under article 28 of the GDPR. In this case, the processing by Personio is based on an agreement for the processing of orders between the controller and Personio. In addition, Personio SE & Co. KG processes further data, some of which may be personal data, to provide its services, in particular for operating this recruitment website. We will refer to this in more detail below.

Access logs (“server logs”)

Each access to this recruitment website automatically causes general protocol data, so-called server logs, to be collected. As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. Error logs

This is absolutely necessary to ensure we can react as quickly as possible to possible problems with displaying and implementing content (legitimate interest). As a rule, this data is a pseudonym and thus does not allow for inferences about the identity of an individual. The legal basis for this is §25 subsection 2 Sentence 2 TDDDG. When an error message occurs, general data such as the domain name of the website, the web browser and web-browser version, the operating system, the IP address, as well as the timestamp upon occurrence of the respective error message and/or specification is collected.
